Receives telephone calls and visitors for the general manager, ascertains nature of business and directs either to the general manager or, where feasible, to another appropriate authority for disposition; schedules appointments for and with the general manager; arranges and confirms meetings with the Board of Directors and numerous other official and community bodies; makes travel assignments.
Supervises and trains subordinate clerical personnel and serves as office manager.
Establishes and implements complex and varied office practices, forms and procedures.
Takes and transcribes complex oral and machine dictation; composes correspondence; types a variety of reports materials; prepares special reports from source material in files; develops and maintains a complex filing system which includes confidential material.
Participates in budget preparation and maintains budget accounts.
Answers inquiries requiring interpretations of municipal policies, rules and regulations.
Prepares agendas and material for various meetings and conferences; takes and transcribes minutes; distributes copies as directed.
Provides secretarial services to the members of the Board of Directors or other officials as required.
Extensive experience in progressively responsible clerical and secretarial work, preferably including supervisory responsibilities, and graduation from high school, including or supplemented by courses in typing, stenography, office management and supervision.
LICENSE AND/OR CERTIFICATE:
Class C California Driver's License. Revocation of license during employment may result in disciplinary action or reassignment.
